The new "Share" feature in Chamaileon allows you to easily collaborate on email designs by providing a publicly accessible unique URL for each "shared" template. This makes getting feedback and reviews more convenient, as you can quickly share the link with clients or colleagues without requiring them to log in or register.

However, when it comes to formal reviews and approvals, we recommend using Chamaileon's review and approval workflow feature. This built-in workflow is more secure and provides a complete set of tools, including commenting and approval tracking, ensuring a streamlined process for your team's email design approvals. The "Share" feature is intended for quick previews, while the review and approval workflow should be used for official sign-offs.

In this article, you'll learn how to share a template using the "Share" feature and why the review and approval workflow might be a better fit for some use cases.

1. Share a Template for Quick Preview

If you want to get quick feedback or allow others to preview an email design without exporting the HTML code, use the "Share" feature. Here’s how:

  • In your Chamaileon dashboard, find the email template you want to share and click on the "Share" option.

  • Switch on the "Enable sharable link" toggle to generate a unique URL.

  • Copy the "Share URL" and send it to your colleague or client.

Note: You can also generate the shareable link in "View" mode. Just click on "Share" and copy the URL provided.

Benefits of Quick Sharing:

  • Convenience: The shared URL can be accessed by anyone, making it perfect for gathering quick feedback or previews.

  • No Logins Required: Recipients do not need a Chamaileon account to view the shared email design.

2. When to Use the Review and Approval Workflow instead

While the shareable URL is great for quick previews, we recommend using the review and approval workflow feature in Chamaileon for formal reviews. This workflow provides a more structured process, including:

  • Commenting: Directly leave comments on specific parts of the email design for a more detailed review.

  • Approval Tracking: Streamline the sign-off process, ensuring that all feedback is captured in one place.

  • Access Control: Unlike the shareable link, the approval workflow requires email addresses and logins, keeping the process more secure.

Why Choose the Review Workflow for Approvals? The share feature is convenient for quick previews, but it lacks the control and tracking necessary for formal approvals. If you need to collect detailed feedback or keep a record of approvals, use the review and approval workflow to facilitate a more organized process.

3. Receiving a Shared Template

If someone shares a template URL with you:

  • Open the link to view the email template.

  • You may see a warning message. Click "I know and trust the source" and then "Continue to the email."

  • You can preview the email on both mobile and desktop to see how it will render across devices.
